Depok-Office Administration study program, Vocational Education Program, Universitas Indonesia (UI), presents Rachmi Dewi Wulansari, President Director of PT Naga Kosmik Indonesia as a guest lecturer for the Protocol Activity Management course. Rachmi is known to have contributed to various major events, including the 2018 Asian Games Countdown, as well as other events featuring local and international artists, ranging from Raisa, Jflow, Dira Sugandi, to Far East Movement, Hyoyeon, Taeyeon, and others.
Event management is the process of planning, organizing, executing, and evaluating events effectively and efficiently to achieve specific goals. Each event is designed to create a unique experience for the audience and meet specific needs, both on a small and large scale. Event management consists of seven main phases, namely planning (designing the concept and purpose of the event), budgeting (managing the budget efficiently), logistics (managing the location, equipment, and technical), marketing and promotion (strategy to attract audiences and sponsors), coordination (synchronization of teams and partners), execution (implementation according to plan), and evaluation (assessment of success and learning for the future).

Rachmi explained that event management covers various types of events, such as personal events (weddings, birthdays, etc.), corporate events (product launches, conferences, etc.), educational and academic events (seminars, guest lectures, etc.), cultural and communities events (festivals, art exhibitions, etc.), entertainment and recreational events (concerts, sports competitions, etc.), political events and campaigns (election campaigns, political debates, etc.). “Each type of event has unique characteristics and requires a different approach in its management. As event organizers, we need to know the main message of the event and how to execute it,” said Rachmi.
For example, Rachmi shared her experience at the 2018 Asian Games Countdown event. A creative strategy was implemented by utilizing sponsors whose promotions were only shown on television broadcasts, not at the event location. In addition, the opening of the event was optimized to attract additional sponsors and create a positive impression for the public. This approach shows the importance of innovation and teamwork to overcome existing obstacles.
Head of the Office Administration Study Program, Radityo Kusumo Santoso, S.I.A., M.M., said that this guest lecture is one of the learning experiences for students to learn how to organize events effectively. “Students can learn that the success of an event does not only depend on large resources, but also on the ability to adapt, innovate, and collaborate. Insights from Mrs. Rachmi will provide inspiration on strategic management that can create memorable, effective, and efficient events,” concluded Radityo.
