Depok-Universitas Indonesia (UI) Archives held Internal Archives Supervision in all work units within UI. Archival Monitoring is a routine program that refers to Law Number 43 of 2009 concerning Archives. On March 16 2022, the supervisory team verified with a field visit at the UI Vocational Education Program to ensure that standard archiving standards had been implemented properly. The verification was carried out by Krisnasari Dianpratami as a representative from the UI Archives Office.

“The purpose of archival supervision is compliance, legal certainty, public trust, and bureaucratic reform so that every archival unit is obliged to carry it out,” said Dyah Safitri, M.Hum, Secretary of the UI Vocational Education Program when receiving the field verification team. This supervision has been socialized since February 2022. Then, through the blended method, these activities are carried out starting from filling out forms online, field verification (both online and offline), preparing temporary audit minutes, until the rebuttal period ends at the end of March 2022. “UI Vocational Education Program has complied with and continues to comply with applicable archival regulations in accordance with existing laws and UI internal rules,” added Dyah.
Archival supervision aspects start from the creating, using, maintaining, and shrinking archives, facilities and infrastructure, also archival resources aspect. At the archival supervision stage on the creation of archives, the implementation of the official document administration is a matter of concern. The official scripts that were sampled were official notes, official letters, and assignments issued in the previous year. Meanwhile, the criteria for the filing system are the use and maintenance of archives, while the criteria for zero pile-up archives are related to aspects of facilities and infrastructure, also archival human resources.

Monitoring of internal archives in the UI environment is certainly expected to make all archival units and processing units according to standards so that work effectiveness can be further improved.
