Depok-The Records and Archives Management study program of the Vocational Education Program, Universitas Indonesia (UI), held a guest lecture entitled “Project Management in Archives.” This activity featured Sutiasni, S.AP., M.Hum., Associate Expert Archivist from the National Archives of the Republic of Indonesia (ANRI), who shared practical experience and strategic perspectives on modern archives management using a project management approach.<\/p>\n

In her presentation, Sutiasni highlighted a reality still frequently encountered in various institutions: poorly organized archives, a mix of important and non-archive documents, and difficult to find when needed. This situation hampers organizational performance and potentially poses the risk of losing important information. According to her, archives are essentially sources of information with administrative, legal, and historical value. Therefore, archive management cannot be done conventionally but requires a structured and systematic approach. <\/p>\n

Sutiasni emphasized that archive management can be optimized through a project management approach, a series of planned activities with specific objectives, clear timelines, and measurable resource utilization. In the context of archival affairs, this approach allows the process of organizing archives to be carried out as a focused and efficient project. She explained that the main stages in archival project management include initiation, planning, execution, monitoring and control, and closure. “This approach ensures that each stage of archive management has clear and measurable success indicators,” she explained. <\/p>\n

Furthermore, Sutiasni outlined several key challenges in archive management projects, ranging from the large and growing volume of archives, limited competent human resources, issues of information security and confidentiality, high storage costs, and a non-standardized organization system. Sutiasni said, “However, behind these challenges lies a significant opportunity. Through good management, archives can provide strategic benefits such as easy access to information, space and cost efficiency, increased data security, and long-term information preservation.” <\/p>\n

Niko Grataridarga, S.Hum., M.Hum., Head of the Records and Archives Management Study Program, stated on the occasion that archives play a crucial role in supporting good organizational governance. “Project management helps structure the archives management process. Archives are no longer viewed as piles of documents, but as sources of information with strategic value for the organization,” he said.<\/p>\n

Through this public lecture, students will gain a real-world understanding of implementation in the workplace, including how to manage disorganized archives and create a neat and accessible system using a project management approach.
