Depok-Amid the increasing role of professionals in organizing official events, communication and protocol aspects are crucial factors in determining the success of an event. Both aspects play a role in strengthening an institution’s image and credibility. To enrich students’ insight into public relations and protocol practices in government, the Public Relations study program (prodi) of the Vocational Education Program, University of Indonesia (UI), held a guest lecture on Special Event Management and Protocol with the theme “Ministry Event Protocol” on May 5, 2026.
The event, held at the VB 402 Vocational Building at the Universitas Indonesia (UI), featured Dadang Hermawan, S.E., Head of the Protocol Subdivision of the Ministry of Trade of the Republic of Indonesia. Drawing on his professional experience, Dadang shared insights into the strategic role of public relations and protocol in supporting various official ministry activities.
In his presentation, Dadang explained that the functions of public relations and protocol are closely related to maintaining an institution’s reputation and image. According to him, protocol goes beyond simply regulating formal events, but also ensures that all communication processes between parties are effective, ensuring activities are carried out in an orderly manner, on target, and in accordance with organizational goals.
“Every detail in organizing an official event impacts the public’s perception of the institution. Therefore, good coordination, accuracy of execution, and communication skills are crucial aspects of public relations and protocol work,” explained Dadang.
Furthermore, students are introduced to various technical aspects of event management within the ministry, from preparing rundowns and arranging guests, arranging venues and ceremonies, coordinating across work units, and handling unforeseen situations during the event. These competencies are crucial because official events often involve government officials, strategic partners, and various stakeholders, requiring high standards of service and protocol.

In addition to technical skills, Dadang also emphasized the importance of interpersonal communication, problem-solving, adaptability, and teamwork. He believes that a public relations practitioner must possess the ability to build positive relationships with various parties while maintaining professionalism in all situations.
During the lecture, students also gained an understanding of how public relations plays a role in creating a positive experience for invited guests through excellent service, clear information delivery, and maintaining a conducive event atmosphere. Public relations not only serves as a messenger for the institution but also represents the organization in building trust and lasting relationships with the public.
The Head of the UI Vocational Public Relations Study Program, Mareta Maulidiyanti, S.Sos., M.M., stated that understanding ministry protocol is an important asset for students who will later pursue careers in various sectors, including government, corporations, and other public organizations. Mareta said, “Public relations students need to understand that an event is also a way to maintain the institution’s image through professional communication, service, and coordination. Protocol materials like this help students see firsthand how public relations is carried out in a government environment. In addition, students will also apply this knowledge in their final exam events, namely PRAction and VokHumfest.”
Mareta hopes that students will be better prepared to face the challenges of the professional world by understanding the importance of synergy between communication and protocol functions in building a positive, credible, and trustworthy institutional image.
