BANDUNG –  Lecturer of the Information and Document Management Study Program (MID) on Friday, December 7, 2018, then made an industrial visit to PT Kereta Api Indonesia (PT KAI) in Bandung, West Java. This visit was carried out to establish cooperation with state transportation management companies in industrial lectures and internships for MID students.

“We use the 321 curricula, three semesters on campus, two semesters of industrial practice, and one semester of internship. Therefore, cooperation with industry is necessary, “said Dyah Safitri, Chair of the MID Study Program. PT KAI is an example of how the company can overgrow when documentation and archives become one of the points of attention to support the company’s acceleration. “There are three major parts in managing records at PT KAI, which are related to legal (legal) aspects, correspondence documents, and asset records,” said Mariyanto, PT KAI’s VP of Corporate Document Management. Asset archives, for example, PT KAI has more than 300 thousand pages of asset archives since the days of the Dutch East Indies whereas PT KAI’s mailing documents have an electronic document system. This system allows every correspondence activity both internally and externally to have been made electronically and already stored in the RDS (Rail Document System) that can be accessed by all PT KAI employees.

Company documents and archives can be seen as company resources and support the company’s added value and competitiveness. This is well known by PT KAI so that from the beginning, the success of managing documents and archives was related to management commitment, change of management, and the application of ICT (information and communication technology) and innovation. Regarding industry lectures and internships, Mariyanto added that he was open as a place and partner in industrial lectures and internships for MID Study Programs. “It is possible that we can also give lectures to MID students so that they get a clear and complete picture of PT KAI’s documentation and archives,” Mariyanto added.

In this industry visit, the permanent lecturers of MID Study Program UI Vocational Education Program had the opportunity to visit some archival facilities at PT KAI’s head office Jl. Perintis Kemerdekaan  Bandung such as electronic correspondence facilities, static archives, and vital archives. Specifically for static and vital archives, some documents and archives originating from the Dutch East Indies as the forerunner of the existence of PT KAI are currently stored well. By visiting a corporation that has some distinctive characteristics, a visit to the PT KAI headquarters is expected to provide new insights to all permanent lecturers of the MID Study Program, primarily related to curriculum 321 while sharing experiences with MID students about the importance of documents and archives in accelerating a company’s growth.
